## Problems this solves

- New subscribers hear nothing until the next newsletter, weeks later.
- Website enquiries get one reply from a salesperson and then nothing.
- You send the same onboarding information by hand to every new client.
- Nobody asks happy customers for a review at the right moment.
- Automations exist but overlap, so some people get three emails in a day.
- You have no idea which automated emails are actually read or clicked.

## Key facts

- Marketing automation set-up starts from £195 + VAT as a one-off.
- Ongoing tuning and campaigns can be added from £95 a month + VAT.
- Common flows: welcome series, lead nurture, enquiry follow-up, onboarding, review request, re-engagement.
- Every flow is tested with internal profiles before it goes live, including exit conditions.
- Automated marketing messages still need consent or the soft opt-in under PECR.
- Built in your own account, so the flows stay yours.

## What email automation is, and what it is not

An automated flow is a sequence of messages triggered by something a person does, or something you know about them. Joining your list, filling in a quote form, buying for the first time or going quiet for six months can each start a different flow. Once it is set up, the right message goes at the right time without anyone pressing send.

It is not a way to send more email to more people. Good automation sends fewer, better-timed messages, and stops as soon as the person does what you hoped. dijitul marketing sets up automation **from £195 + VAT** one-off. If you want us to keep improving it and run your campaigns too, that is part of email marketing from £95 a month + VAT.

## Flows we build most often

- **Welcome series**: three to five emails over a couple of weeks introducing who you are, what you do best and what to do next.
- **Enquiry follow-up**: for service businesses. A confirmation, a useful guide or case for why to choose you, and a check-in if no quote has been accepted. It exits when the enquiry is marked won or lost in your CRM.
- **Lead nurture**: for longer B2B sales cycles, a monthly educational email that keeps you in mind without hard selling.
- **Onboarding**: for new clients or members. What happens next, who to contact, and how to get the most from the service.
- **Review request**: sent after delivery or completion, linking to your Google Business Profile or review platform.
- **Re-engagement**: for contacts who have not clicked in months, ending with suppression if they stay silent.

Online shops need a slightly different set, covered on our ecommerce email flows page.

## How we build a flow

- **Map it.** We draw the journey: trigger, delays, branches (for example 'clicked' or 'did not click'), and exit conditions.
- **Check the data.** A flow is only as good as its trigger. We confirm your form, shop or CRM is actually sending the event or field the flow depends on.
- **Write it.** Each email has one job and one main link. Subject lines are short and specific.
- **Build and tag it.** We build in your platform and add UTM parameters so clicks appear as email traffic in GA4.
- **Test every path.** Internal test profiles go through each branch, so we see what a real person sees, including what happens when they buy or unsubscribe part way.
- **Switch on and review.** We check the first live sends and review performance after a few weeks.

## Automation and consent

Automated does not mean exempt. PECR treats a triggered marketing email the same as a campaign. Under the ICO's guidance, you need consent or the soft opt-in for existing customers before sending marketing to individuals.

Some messages are service messages rather than marketing: an order confirmation, a booking reminder or onboarding information the client needs. Those can go without marketing consent, but if you add promotions to them they become marketing. We keep the two clearly separate in your flows so a customer who has unsubscribed from marketing still gets the service emails they need.

## Connecting automation to your CRM

The most useful flows react to what happens in your sales system: a quote sent, a deal won, a renewal due. Klaviyo, Mailchimp, Brevo and HubSpot all have integrations, and tools such as Zapier or Make can bridge the gaps.

Where the connection needs custom work, for example a bespoke booking system that needs to push events into Klaviyo, our sister company dijitul developments builds CRM integrations. We will tell you if that is needed before quoting, rather than discovering it half way.

## Measuring whether automation works

Automated flows are easy to forget once they are live, which is why many businesses still run a welcome series written five years ago. We review each flow a few weeks after launch, then at regular intervals. The questions are simple: does each email get clicked, do people drop out at the same step, and does the flow lead to the action it was built for, whether that is a first order, a booked call or a review.

Because every link carries UTM parameters, GA4 shows automated email traffic separately from campaigns. That lets us compare a flow's contribution with the cost of building it. Where an email in the sequence gets few clicks and many unsubscribes, we rewrite it or remove it. Shorter flows that people finish beat long ones they abandon.

## What you get

- A journey map showing triggers, timings, branches and exit conditions
- Copy for every email in the flow, written to your tone of voice
- Flow build in Klaviyo, Mailchimp, Brevo or HubSpot
- Trigger and data checks (forms, shop integration, CRM fields)
- Testing with internal profiles across each branch
- UTM tagging so automated email traffic shows in GA4
- A handover note explaining every flow and how to pause or edit it

## FAQs

### How much does email automation set-up cost?

dijitul marketing sets up marketing automation from £195 + VAT one-off. The final fixed price depends on how many flows and emails you need, and we agree it before starting. Platform subscriptions are paid directly to the provider.

### Which platforms do you build automation in?

Mostly Klaviyo, Mailchimp, Brevo and HubSpot. We can work in other platforms if you already use them and they support triggered flows. We build in your account so the flows, templates and data remain yours.

### How many emails should a welcome series have?

Usually three to five, spread over one to three weeks. Enough to introduce the business and give a clear next step, not so many that new subscribers feel spammed. We test and adjust the timing after launch.

### Do automated emails need consent?

Marketing ones do. The ICO's PECR guidance applies to triggered marketing emails just as it does to campaigns. Pure service messages, such as order confirmations, do not need marketing consent as long as they do not contain promotions.

### Can automation follow up website enquiries?

Yes. We can trigger a sequence when a form is submitted and stop it automatically when the enquiry is marked won or lost in your CRM, so prospects never get a chase email after they have already booked.

### Will you maintain the flows afterwards?

If you want. Ongoing optimisation and campaigns are part of our email marketing service from £95 a month + VAT. Otherwise we hand over a written note explaining every flow.
